Services provided

 

Please note that we are a national pavilion and we provide practically all the services, except those few services that are exclusive to the organizers, such as issuing exhibitor badges and publishing the show catalog.

 

Following are some of the services provided by us as well as by the organizers, DWTC.

 

1. Show Catalog: This is published by the organizers’ publisher ITP. (Deadline for this is January 18, 2018). Please make sure to enter your write ups for this catalog on your Exhibitor Zone, by the usernames and passwords we have provided you. For those who have not received their usernames and passwords for their Exhibitor Zones, we have asked the organizers for them and we will forward them individually to the exhibitors. See Circular 4 of December 28, 2017.

 

2. USA Pavilion Catalog: This is a very important catalog as it is distributed to the USA Pavilion visitors, i.e. those interested in US food products. I produce this. One page entries are free of charge for all exhibitors. Ads allowed at $300 per page, plus 5% VAT. The deadline for receiving your write ups and logos for this catalog is January 16, 2018. Please hurry and send me your write ups and logos per the attached form. See Circular 4 of December 28, 2017.

 

3. Exhibitor Badges: The organizers, DWTC produce these. The Exhibitor Zone space for ordering free badges online will be closed on January 18, 2018. Those who ordered badges online may collect them with pertinent exhibitor information, at the Badge Collection Point located adjacent to Sheikh Saeed Hall 3 commencing Wednesday, 14 February 2018. They are segregated by Pavilion. Those exhibitor badges that were not collected by 9 am on set-up day i.e. Saturday, February 17, 2018 will be taken to the OAA Market Briefing for distribution to attendees at the briefing. (See item 4 below). Exhibitors who have not ordered their free badges online will need to purchase them at the exhibition center at the organizers office at the entrance of Hall 3 by paying AED 400 ($109) per badge. Long lines are to be expected.

 

4. OAA Briefing: As every year, the Regional Agricultural Counselor of the Office of Agriculture Affairs (OAA) at the US Consulate General in Dubai will provide a Market Briefing to the USA pavilion exhibitors with other information of interest to the US exhibitors. This will be held on set-up day, i.e. February 17, 2018 at 9:30 am - 10:30 am at Abu Dhabi A Room in the concourse of the exhibition center. Take the elevator next to the entrance of the Ibis hotel inside the exhibition center to level 1.  Tea, coffee and water will be served. All exhibitor badges not collected by the exhibitors by 9am on this day will be available for collection at the market briefing. Exhibitor badges not collected then will be taken to the USA Pavilion Business Lounge, particularly for the benefit of those who arrive late to Dubai.

 

5. Hotels: As in every year, we have blocked rooms for the USA Pavilion exhibitors in a number of Dubai hotels in the vicinity of the exhibition center. We have provided you the list of the USA Pavilion hotels in our Circular 1 of December 14, 2017. I assume most of you booked your accommodation by now. If not, please reserve your accommodation promptly and check release dates of blocked rooms carefully to avoid any disappointment.

 

6. Transportation: As every year, we have booked six 32-seater buses to transport our exhibitors out of the exhibitions halls every day after closing of the show to their hotels in the vicinity of the exhibition center. These are complimentary and the idea is to move our exhibitors out of the exhibition halls quickly to their hotels. While the Exhibition Center is served by Dubai metro, the rush will preclude any quick exit by metro or taxis. All hotels listed in our Circular 1 of December 14, 2017 will be served by our buses.

 

7. Shipping of Samples: Samples’ shipping instructions and contact details of some U.S. consolidators for shipping your samples were sent to you by Circular 3 of December 23, 2017. Our clearing agent in Dubai, “E-Freight” will clear your samples and deliver them to your booths on the morning set-up day, i.e. February 17, 2017, at no cost to you. Exhibitors may use other clearing agents at their own responsibility and cost.

 

8. Refrigeration Equipment: We have sent you by Circular 2 of December 19, 2017 the catalogs of the 2 providers of refrigeration and other equipment (Lowe Refrigeration and Valentin Internationaler Messeservice), with their price lists and order forms, for those who require such equipment. These two vendors will have a limited number of refrigeration equipment available in Dubai for those who may require them. Exhibitors of the USA pavilion may order refrigeration equipment from other vendors, if they wish. 

 

9. Furniture, Lighting and Electrical Supply: All booths on "Shell Scheme", are built and furnished by us. The number of furniture and furnishings provided by the construction contractor per size of booth and will be included in our Construction Circular which will be coming soon. For those who require additional furniture, furnishings, etc., information will be available in our Construction Circular.

 

Note: Exhibitors on “Space Only” scheme, i.e. those who ordered space only in the Pavilion, will be responsible to build and furnish their booths, as well as arranging for carpeting and lighting of their booths and any additional equipment that they may require. All exhibitors on “Space Only” scheme must follow the organizers’ instructions for building, listed in the Exhibitor’s Manual which they can access in the Exhibitor Zone.  Exhibitors must provide the design of their stand to DWTC, for their approval by completing Form 3 on the Exhibitor Zone by January 18, 2018.

 

10. 24 Hour Electricity: All exhibitors who have refrigeration or other equipment who require 24 hour electricity must order “24 hour supply” by using the Utilities Request Form online as per the instructions to be included in the Construction Circular. The organizers turn off power to the booths after exhibition hours except for those who have requested 24 hour power supply. If you require additional power supply (such as 3-phase or more than the 13 Amp which is provided in shell scheme booths), please make sure to order that from the contractor online, by using the Utilities Request Form.  Please note that the power in Dubai is 240 Volts, not 110 V as in the US, frequency is 50 Hz. Those who bring small appliances from the United States will require a transformer to be able to use their appliances. Transformers may be purchased in Dubai and they are not expensive. Also, the plugs in Dubai are type G. See photo below. You may need an adapter which could be also purchased here in Dubai, or brought with you.

 

11. Demonstrators: As every year, we will recruit demonstrators or other staff to help you in your booths. The cost is AED 85 per hour, i.e. AED 85 x 8 hours x 5 days = AED 3,400 (US $925). If you require a demonstrator for your booth, please let me know by an E-mail as soon as possible. No forms are needed. Demonstrators would prefer to work the full days of the show. Please state your requirement to me. The exhibitors who use services of demonstrators will pay them directly against receipt from them. Cash payments only will be accepted by them.  

12. Grocery Supplies: For those exhibitors who require continuous supplies of grocery products such as milk, juices, cups, mineral water, ice cubes, etc. for the purposes of their booths, please note that there is a supermarket conveniently located near the exhibition center where they can purchase these items regularly.

13. Complimentary Visitors Invitation: These are issued by the organizers. We will provide 25 promo codes for complimentary visitor passes to each exhibitor as soon as we receive them from the organizers. UAE based exhibitors may also collect their complimentary visitor passes from the exhibition center, Gulfood team, located on the first floor of the organizers offices, next to Novotel Hotel entrance inside the Exhibition Center.

 

14. Internet: We will have 4 laptops with 4 printers, connected to the Internet, available free of charge for our exhibitors usage at the USA Pavilion Lounge. We will also purchase from the organizers a number of Wi-Fi codes which we will distribute free of charge to our exhibitors. More information on this will be provided later.  These are on 5ghz, i.e. they work on IPhone 4/4s/5/5s/6/6plus, Galaxy S2/S3/S3 Mini/S4/S5, Galaxy Note 1/2/3,/4 HTC One, LG Nexus 4/5, Blackberry Bold/Curve/Torch or Older, Blackberry Bold 9900/Z10/Q10/X10/passport and above. Those who require individual Wi-Fi links may order it from Last Minute UAE located near the entrance of Hall 7 in the Exhibition Center. The rate is AED 250 for 1Gb and AED 350 for 4GB for the duration of the show. Their E-mail is lastminuteuae@gmail.com. Tel: +971 55 813 2148to order. An IT specialist will be available in the USA Pavilion Lounge throughout the show to solve any problems that our exhibitors may have in their connections, etc.

 

15. USA Pavilion Dinner Reception: This year, the USA Pavilion dinner reception, hosted by the Coordinator of the USA pavilion, will be held on Monday, February 19, 2018, 7:30 to 9:30 PM at the Dusit Thani Hotel , Sheikh Zayed Road, which is very close to the Exhibition Center. All exhibitors are invited. The USA Pavilion buses will be available to transport the exhibitors to the venue and back to their hotels after the dinner.

 

16. Cleaning of the Pavilion: Cleaning of the Pavilion aisles will be provided continuously by the organizers’ crews who will be present on site. Cleaning inside the booths of the shell scheme exhibitors will be provided by the construction contractor of the USA Pavilion, DXB Live. Cleaning of booths on Space Only scheme is the responsibility of the exhibitor. This service may be ordered from the organizers by using Form 6 on the Exhibitor Zone.

  

17. USA Pavilion Webpage: Our pavilion webpage is being updated and we expect the update to be completed soon. We will inform you when the update is completed and will provide you with usernames and passwords for accessing the exhibitors section. The webpage contains information of interest to the USA pavilion exhibitors as well as photos of the USA Pavilion and its exhibitors from past years. New information is uploaded periodically by the pavilion webmaster.  

 

18. Photographer: As in past years we have engaged a professional photographer to take photos of the pavilion opening as well as the exhibitors’ booths individually. All photos will be uploaded on the USA Pavilion webpage that you can download, as needed.
